EVO Exercise Science (“EVO”)
Refers to the business operated by James Allan, including all coaching, consulting, and performance-
related services delivered under the EVO brand.
Coach / Trainer / Sports Scientist
Refers to James Allan or any qualified professional contracted, employed, or authorised by EVO to
design training programmes, provide guidance, or deliver performance-related services.
Client
The individual receiving coaching, consulting, or performance services from EVO.
Services
All activities provided by EVO, including training programme design, consultation, performance analysis,
communication, feedback, assessments, education, and ongoing support.
Training Plan / Programme
A structured exercise prescription delivered via TrainingPeaks or other agreed platforms, outlining daily
or weekly training tasks.
TrainingPeaks
athlete progress.
A third-party online training software platform used to deliver training plans, collect data, and monitor
7. Client-Initiated
Any service, communication, or request that begins only once the client contacts the coach.
Field Tests
Performance assessments conducted outside a laboratory environment, typically including time trials,
maximal efforts, or fitness markers measured during regular training.
Lab-Based Tests
operated by EVO.
Performance or physiological assessments conducted by an external facility or third-party provider not
Response Times
The expected time within which EVO will reply to messages, excluding Sundays and South African public
holidays.
Office Hours
The official business hours during which EVO provides communication, feedback, and training
adjustments.
Mesocycle
A structured training block of approximately 8-10 weeks designed to achieve specific physiological or
performance outcomes.
3Real-Time Adjustments
Changes or modifications to the training plan made within the same training week based on client
updates or performance data.
Check-In
A structured communication session, via WhatsApp, phone, or other platform, used to review progress,
address challenges, and plan the upcoming training period.
Wellness Tracking
Self-reported metrics submitted through forms or digital platforms, including fatigue, stress, sleep,
soreness, mood, and readiness to train.
Race Assistance
Non-medical support provided during a competition, including strategy guidance, pacing advice, and on-
site help where applicable.
Pacing / Race Strategy
Performance recommendations and tactical guidance provided for training sessions or competitions.
Outcomes are not guaranteed.
Suspension of Services
A temporary halt in programme delivery due to late payment, policy violation, or unresponsiveness from
the client.
Termination
A complete discontinuation of coaching services and the agreement, initiated by either EVO or the
client, subject to notice requirements.
Payment Cycle / Billing Date
The monthly schedule on which payments are due, determined by the date of the initial payment.
Calendar Month Notice
A full calendar month of notice required to terminate services (e.g., notice given on 10 May becomes
effective 30 June).
Pro-Rated Refund
A refund calculated proportionally based on the portion of services not yet delivered at the time of
cancellation, applicable only under approved circumstances.
POPIA Compliance
Refers to EVO’s obligations under the Protection of Personal Information Act (South Africa) to protect
client data, collect information responsibly, and ensure privacy and confidentiality.
Ordinary Negligence
A failure to exercise reasonable care, resulting in unintentional oversight or error.
4Gross Negligence
A severe or reckless disregard for safety or responsibility, exceeding ordinary negligence.
Medical Clearance
Written confirmation from a licensed healthcare professional stating that the client is medically fit to
participate in physical training.
Additional Fees
Any costs not included in the coaching fee, such as laboratory testing, facility rentals, equipment
purchases, or travel costs.
Third-Party Services
Services delivered by external providers not affiliated with EVO, including laboratories, consultants,
facilities, and digital platforms.
Urgent Message

All physical tools, gear, or devices used by the client during training or assessment. EVO is not responsible
for equipment failure or misuse.

that you’ve placed your trust in our expertise.
This document is designed to provide clarity, transparency, and consistent communication
throughout your coaching experience. It explains your coaching package, how we work, and how
we can collaborate effectively to optimise your training and performance.
At EVO, our foundation is science-driven performance coaching. We apply the latest principles of
exercise science to help athletes train smarter, perform better, and reach their competitive
potential. Whether preparing for a race, building season-long performance, or elevating physical
capabilities, our approach is grounded in evidence, precision, and professional expertise.
Through our integrated model, you gain access to a team that understands training load,
recovery, performance metrics, biomechanics, and athlete support at a high scientific standard.
We deliver professional-grade support typically reserved for elite environments, in an accessible,
personalised, and practical way.
This document sets clear expectations and boundaries to ensure a structured, respectful, and
effective coaching partnership.

63. COACHING PHILOSOPHY & VALUES
At EVO Exercise Science, coaching is personal, intentional, and grounded in science. We do not
provide generic training plans. Every programme is tailored to the individual, shaped by goals,
data, and unique needs, and delivered one-on-one with focused attention. We combine scientific
rigor with holistic support, integrating training, wellness metrics, and performance analytics into
a streamlined system. This ensures accurate, consistent guidance with a long-term perspective.

85. PACKAGE DETAILS
5.1 EVO CORE Package – All Inclusive
Price: R1,500 / month
The EVO CORE Package is designed for athletes seeking high-performance, science-driven
coaching with full support, real-time adjustments, and access to a sports scientist. This package
integrates training, performance analysis, recovery strategies, and nutritional guidance into a
single, structured coaching system.
What’s Included:
1. Personalized Coaching
• One-on-one coaching led by a sports scientist and coach delivered online via
TrainingPeaks.
• Plans are fully tailored to your goals, lifestyle, and performance data.
• Real-time adjustments based on ongoing feedback, wellness tracking, and performance
metrics.
2. Training Plans
• Weekly, periodised plans aligned with your current fitness, goals, and competition
schedule.
• Adjustments made in response to training feedback, wellness trends, or schedule
changes.
3. Performance Testing & Metrics
• CORE field tests (e.g. sport-specific time trials, submax tests, power tracking, etc.) are
included.
• Optional advanced lab testing (VO₂max, lactate threshold, blood biomarkers, etc.) can be
requested:
o Client arranges and pays facility directly.
o EVO analyzes results and integrates into your training plan.
o Cost is not covered by EVO unless explicitly agreed.
• Tests are typically scheduled at onboarding and at the start of each mesocycle (~8–10
weeks), with flexibility based on the athlete’s needs.
• Results analysis includes training zones, performance trends, and actionable
recommendations.
4. Data Analytics & Insights (Client-Initiated)
• Comprehensive analysis of training, race, or recovery data.
• Actionable insights to guide plan adjustments and optimise performance.
95. Nutrition & Recovery Guidance (Client-Initiated)
• Personalized fueling strategies for training and race day (e.g. carbohydrate intake per
hour, timing, hydration, electrolytes).
• Recovery protocols to reduce fatigue, prevent injury, and improve adaptation.
• Not included: meal plans, calorie targets, weight-loss diets, or clinical nutrition guidance.
• Referral to a registered dietitian will be made if medical nutrition guidance is needed.
6. Race Strategy Support (Client-Initiated)
• Individualized race plans including pacing models, fueling, and strategy guidance.
• Pre-race check-ins and post-race debriefs available upon client request.
7. Wellness Tracking (Client-Initiated)
• Weekly monitoring of fatigue, stress, recovery, and overall well-being via questionnaires.
• Trends are analyzed to inform plan adjustments.
8. Check-In Calls (Client-Initiated)
• Weekly calls to review progress, provide guidance, and adjust training.
• Can be scheduled via WhatsApp or other agreed formats.
9. Communication
• Direct access to your sports scientist via WhatsApp or email.
• Response time: 24–48 hrs, Monday–Saturday.
10. Priority Support
• CORE clients receive priority for scheduling, plan adjustments, and urgent race-week
queries.
105.2 EVO LITE Package – Basic
Price: R1,000 / month
The EVO LITE Package is ideal for athletes seeking structured coaching with essential guidance
and accountability. It provides consistency and fundamental progress without the full analytics
or high-touch support of the CORE Package.
What’s Included:
1. Personalized Training Plan
• Delivered monthly, tailored to goals and available training time.
• Focus on building fitness foundations, consistency, and progressive overload.
• Delivered online via TrainingPeaks.
2. Performance Testing & Metrics
• Basic field tests and self-reported metrics for tracking progress.
• Limited optional testing available at client request (arranged and paid directly by the
client).
3. Data Analytics & Insights (Client-Initiated)
• Feedback on training trends and performance.
• Used to inform monthly plan updates.
4. Communication
• Support via WhatsApp or email, response within 72 hours, Monday–Friday.
• Focused on routine questions, accountability, and basic guidance.
5. Community Access
• Connection to like-minded athletes for motivation and accountability.
6. Check-In Calls (Client-Initiated)
• Monthly progress call to review training, wellness, and updates to the next cycle.
7. Limited Flexibility
• Schedule changes or custom requests must align with the monthly update schedule.
• No last-minute adjustments are available due to the structured plan cycle.
115.3 Add-On Services (Optional, Client-Paid)
• Lab-Based Performance Testing: POA
o Advanced tests such as VO₂max, lactate threshold, power output, blood
biomarkers.
o Arranged directly with the facility; EVO schedules tests & interprets results.
• Race/Event Data Analytics: R1,000/event (Included for CORE clients)
o Detailed analysis of race performance to inform future strategy.
• Race Assistance (On-Site): POA
o In-person support for nutrition, pacing, and real-time adjustments.
• EVO Performance Apparel: Pricing varies & when available
o Exclusive branded performance wear for comfort and competition.
• Wellness Tracking: R200/month
o Weekly questionnaires to track fatigue, stress, recovery, and overall trends.
126. COMMUNICATION GUIDELINES
Channels: WhatsApp, email, TrainingPeaks app.
Response Times:
• CORE: 24–48 hrs, Mon–Sat; high-priority messages (race week) prioritized.
• LITE: 72 hrs, Mon–Fri; routine support only.
Office Hours:
• Mon–Fri: 08:00–17:00
• Sat: 08:00–14:00 (CORE only)
• Sun/Public holidays: No routine support unless pre-arranged.
Emergency Protocol: Client-initiated urgent messages (race week or injuries). CORE prioritized;
LITE follows office hours.
6. TRAINING PLAN ADJUSTMENTS
EVO CORE Package
CORE clients receive flexible and responsive plan management to support high-level
performance.
• Adjustment Frequency:
Training plans are updated weekly, with real-time modifications when necessary.
• Communication Requirements:
Schedule changes should be communicated at least 24 hours in advance whenever
possible.
• Last-Minute Changes:
Last-minute adjustments are allowed for CORE clients; however, they are not
recommended, as they may compromise training quality and planning.
• Limits on Custom Requests:
No formal limits, custom requests and rescheduling are supported within reason,
depending on coach availability and workload.
EVO LITE Package
LITE clients receive structured and consistent planning with limited modification frequency.
• Adjustment Frequency:
Training plans are updated monthly, with updates incorporated into the next cycle.
13• Communication Requirements:
Schedule changes must be communicated during the previous week to be included in
the next plan update.
• Last-Minute Changes:
Last-minute changes are not available for LITE clients due to the monthly planning
structure.
• Limits on Custom Requests:
No strict limits, but requests must align with the monthly update schedule and may not
be actioned immediately.
7. CHECK-INS & ACCOUNTABILITY
Regular check-ins play an essential role in ensuring progress, maintaining accountability, and
allowing your coach to make informed adjustments. Check-ins help us understand how you are
responding to training physically, mentally, and emotionally.
7.1 Frequency of Check-ins
CORE Package
• Weekly check-ins (client-initiated)
• Ideal for monitoring performance trends, recovery, and training load
LITE Package
• Monthly check-ins (client-initiated)
• Focused on broader progress updates and monthly plan adjustments
7.2 Check-in Format
Clients may check in using:
• WhatsApp voice notes or text messages (for updates or quick questions)
• Scheduled calls (ideal for deeper discussions, race strategy, or detailed reviews)
• Forms or questionnaires (sent at the coach’s discretion when more structured
information is required through trainingpeaks, whatsapp, google forms or microsoft
forms)
All check-ins must follow the communication guidelines outlined earlier regarding office hours
and response times.
147.3 Information Required During Check-ins
To ensure accurate, high-quality coaching adjustments, clients are expected to provide clear and
honest updates. Standardized questions may be used at the coach’s discretion and may include
but are not limited to:
• How would you rate your training this week (0–10)?
• How is your body feeling? Any fatigue, soreness, or niggles?
• How has your mental stress or overall load been recently?
• How satisfied are you with your coaching and progress right now?
• How have your sleep, nutrition, and recovery habits been this week?
Providing complete and accurate information ensures your program stays individualized, aligned
with your goals, and safe.
8. NUTRITION SUPPORT GUIDELINES
Our nutrition support is performance-focused and designed to optimise fueling for training and
racing. *We do not provide meal plans, diet plans, calorie targets, or clinical nutrition advice.
What We Can Provide
• Training and race-day fueling guidance (e.g. carbs/hour, timing, hydration,
electrolytes).
• Practical race fueling plans (e.g. fluids, gels, electrolytes, timing).
• Evidence-based guidance around exercise to support performance and recovery.
• Opportunity to ask sport-specific fueling questions.
What We Do Not Provide
• No meal or diet plans.
• No calorie prescriptions.
• No weight-loss or body-composition diets.
• No medical or clinical nutrition support.
Referral to Dietitian
We refer clients to a registered dietitian if they need:
• A meal/diet plan
• Nutrition for a medical condition
• Weight-management or specialised dietary support
159. PERFORMANCE TESTING & DATA ANALYSIS
Our approach to testing is designed to track progress, guide training decisions, and support
evidence-based programming.
What’s Included
• Field tests relevant to your sport (e.g. time trials, power tests, submax tests) are
included for CORE clients and used to update training zones and monitor progress.
• All collected data is analysed by your coach, and results are integrated into your
training plan.
Optional Testing
• Lab-based tests (e.g. VO₂max, lactate threshold, blood biomarkers, body composition,
etc.) are optional add-ons.
• Clients arrange and pay the testing facility directly. EVO will interpret the results and
adjust training accordingly.
Frequency
• Typically field tests are used at onboarding with EVO, then at the start of each
mesocycle or when useful for training progression. Frequency is flexible and adapted
to the athlete’s needs.
10. RACE SUPPORT
What’s Included
• Race-week check-ins: Available on a client-initiated basis for final adjustments and
confidence building.
• Post-race debriefs: Optional reviews to discuss outcomes and key takeaways.
Strategy & Pacing
• Race strategy sessions and pacing guidance are provided only upon client request and
when agreed upon with the EVO coach.
• Not formal pacing, but informed advice based on science and your training data.
1611. PAYMENT, BILLING & CANCELLATION POLICIES
Our billing policies ensure clarity, fairness, and smooth service delivery for all clients.
Payment Terms
• Monthly coaching fees are due before the start of each training month.
• Training plans and services are only released once payment has been received.
• Payments may be made via EFT, debit order, or PayStack subscription.
Late Payments
• If payment is not received within 7 days of the billing date, services may be paused.
• After 7 days, access to coaching may be suspended.
• After 30 days of non-payment, the membership may be terminated.
Cancellations & Changes
• Clients must provide one full calendar month’s written notice to cancel, downgrade,
or upgrade their package.
• The final payment is due one month prior to the agreed termination date.
• Package changes take effect at the next billing cycle.
Refund Policy
Payments are non-refundable, except in the following cases:
• EVO terminates the coaching agreement - a pro-rated refund will be issued.
• A client cannot continue due to a documented medical condition - a pro-rated refund
may be considered upon review.
Additional Fees
Any additional costs (e.g. testing fees, lab assessments, facility fees, equipment) are the client’s
responsibility and are not covered by EVO.
1712. CLIENT RESPONSIBILITIES
These expectations help ensure progress, safety, and a productive coaching relationship. Clients
are responsible for:
• Completing/Sign all onboarding requirements, including:
o Waivers & Liability Agreements
o Needs Analysis & PAR-Q questionaires
o Payment setup and agreement (EFT or PayStack)
o TrainingPeaks account setup and device connection
• Communicating schedule changes early, as all adjustments are client-initiated.
• Logging workouts accurately and ensuring training devices sync correctly.
• Informing EVO immediately of injuries, health concerns, or significant lifestyle changes.
• Committing to the programme, completing check-ins, and engaging honestly with the
coaching process.
13. COACH RESPONSIBILITIES
Your coach commits to providing:
• Professional, evidence-based coaching tailored to your goals.
• Timely communication within the response-time limits of your package.
• Regular monitoring of training data, wellness trends, and progress.
• Safe, appropriate training prescription based on best practice.
• Respectful, supportive, and ethical conduct at all times.
• Referrals to appropriate professionals (such as physicians, physiotherapists,
dietitians) when needed.
14. BOUNDARIES & RESPECT POLICY
To maintain a healthy, professional coaching environment:
• Communication must remain respectful at all times.
• No late calls or messages beyond agreed office hours.
• Personal contact details must not be used for purposes outside coaching.
• Repeated boundary violations may result in warnings, paused services, or
termination of the coaching agreement.
• POPIA compliance.
1815. HEALTH & MEDICAL DISCLAIMER
To ensure safety and clarity:
• EVO coaches are not medical doctors, physiotherapists, or dietitians.
• Clients must disclose all injuries, medical conditions, or medication changes.
• Clients exercise at their own risk and must use equipment safely.
• EVO may request medical clearance from a licensed healthcare provider when
necessary.
• Any condition requiring medical, physiotherapy, or dietetic intervention will be
referred to the appropriate professional.

WAIVER, RELEASE OF LIABILITY, INDEMNITY & PAYMENT AGREEMENT
I, ______________________________________ (“the Client”), hereby enter into this
agreement with EVO Exercise Science, owned and operated by James Allan (“the Trainer”).
For the purposes of this agreement, “the Trainer” refers to James Allan, and/or any qualified
coach or sports scientist employed or contracted by EVO Exercise Science, who may provide
services directly or under the supervision of James Allan.
By signing this document, I acknowledge, understand, and agree to the following:
1. Assumption of Risk
1.1 I understand that participation in exercise training, physical conditioning, and related
activities (“the Services”) involves inherent risks, including but not limited to physical injury,
illness, muscular strain, cardiovascular events, disability, or death.
1.2 I confirm that I voluntarily choose to participate in these activities and that I accept all
associated risks, whether foreseeable or unforeseeable.
1.3 I acknowledge that it is my responsibility to consult a medical practitioner before beginning
any exercise program and to disclose any relevant injuries, illnesses, or medical conditions.
2. Release of Liability
2.1 To the fullest extent permitted by South African law, I hereby release, discharge, and hold
harmless EVO Exercise Science, the Trainer, employees, contractors, agents, successors,
and assigns from any and all claims, losses, damages, liabilities, demands, or causes of
action arising out of or related to my participation in the Services.
2.2 This release includes injuries or damages arising from negligence (excluding gross
negligence or wilful misconduct), accidents, equipment failure, or any condition of a training
venue.
203. Indemnity
3.1 I agree to indemnify and hold harmless EVO Exercise Science and the Trainer against any
claims, demands, legal costs, or liabilities brought by any third party as a result of my
actions, participation, or failure to follow instructions.
3.2 This indemnity applies to all training sessions, consultations, communications, and related
services.
4. No Medical Advice
4.1 I understand that the Trainer is not a medical doctor, physiotherapist, dietitian, or other
regulated healthcare practitioner.
4.2 All exercise guidance, training prescriptions, and performance recommendations are
provided for general fitness and performance purposes only and do not constitute medical
treatment or medical advice.
4.3 The Trainer may request medical clearance at any time, and I agree to obtain and provide it
when requested.
5. Payment, Billing & Cancellation
5.1 Payment Terms
• Monthly coaching fees are due before the start of each training month.
• Programs, updates, and coaching services will only be released once payment has been
received.
• Payment may be made via Debit Order, Subscription through PayStack or by EFT.
5.2 Late or Non-Payment
• Services may be paused if payment is more than 7 days late.
• Services may be terminated after 30 days of non-payment.
• No training will be delivered during a suspension.
5.3 Cancellation

• The Client must provide one full calendar month’s written notice to terminate coaching
• The final payment is due one month before the confirmed termination date.
5.4 Refunds
Payments are non-refundable, except:
a. If EVO Exercise Science terminates the Services early, a pro-rated refund will be issued.
21b. If the Client is unable to continue due to a documented medical condition, a pro-rated
refund may be considered upon written request and submission of supporting
documentation.
5.5 Additional Fees
I understand that additional expenses, including facility fees, laboratory testing, equipment
costs, or third-party services, are my responsibility and are strictly non-refundable.
6. Governing Law
This Agreement is governed by the laws of the Republic of South Africa. Any dispute arising
from this Agreement shall be handled in accordance with South African legal procedures and
jurisdiction.
7. Acknowledgement
By signing below or via the digitally accepted form titled "Onboarding EVO Athlete Needs Analysis & PAR-Q" available at 'https://forms.gle/aL7xoxQkr7qhE2R97', I confirm that:
• I have read and fully understand this Agreement.
• I am signing it voluntarily and without coercion.
• I understand the rights I am waiving and the obligations I am accepting.
• This Agreement is binding upon my heirs, executors, administrators, and assigns.
